Independent use of school gyms 

Independent use means that the person making the reservation (for example, a sports club) is responsible for supervision during the reservation and ensures that the gym remains clean after the reservation. In independent use, evening users sign a key handover agreement, in exchange for which they receive keys to the school. The independent use of school gyms is cheaper than reservations at supervised schools.

Keys 

Picking up the keys 

The community may decide who picks up the keys from the school. This person must be an adult. The school caretaker introduces the school’s evening use facilities and hands over the keys. If you have made a reservation for the independent use of school facilities, please contact the Sports Services/school caretaker at least two weeks before the event. Communities that do not continue their reservation at the end of the season must return the keys to the school caretaker at the times separately announced by the Sports Services. 

Number of keys 

The number of keys required has been estimated for each community on the basis of their reservations. The school caretaker knows the number of keys granted to evening users, and they hand over the keys to the applicant based on this information. 

Keys for individual reservations 

Individual reservations have their own keys, which can be picked up closer to the reservation, as agreed with the school caretaker. When picking up the key, please agree on the return date as soon as possible after the event. 

Key handover agreement 

The person picking up the key signs a key handover agreement. If the community wishes to share responsibility for the keys, there may also be several persons picking up the keys, in which case they all sign the key handover agreement (PDF). If one person signs the key handover agreement for more than one key, the community may make a (secondary) agreement on sharing the responsibility for the keys. 

The person(s) signing the agreement is/are responsible if the key is lost. If the agreement is otherwise violated and its provisions are not followed, the penalty is targeted at the community and not to the person responsible.

Use of iLOQ keys 

The key must be inserted all the way to the lock cylinder and then turned. If the lock does not open, the key must be removed from the lock and the procedure repeated more slowly at a constant speed. The lock cylinder produces the electrical energy used by both the lock and the key electronics from the key insertion. If the key is inserted too fast, the lock will not open. 

Supervision 

In independent use, the person making the reservation is responsible for the supervision. The front door must not be kept open during the reservation. The community that made the reservation has the right to use only the facilities granted by the Sports Services. The users may enter the school facilities 15 minutes before the start of their reservation, and they have 30 minutes for using the locker room after the reservation, after which they must exit the facilities. The person in charge locks the windows and doors and turns off the lights. Alarms are automatically switched on in schools. The costs of an alarm will be charged from the person who caused the alarm. Any damage must be reported to the Sports Services.

Breach of agreement 

Breaches of agreement caused by the user during or outside the reservation result in liability for damages, and the community will be notified in writing of these. The liability for damages is based on the costs incurred, such as the costs of investigating the matter and changing the locks and the cost of additional administrative work. 

If more than one violation has occurred during or outside the reservation following a notice given to the sports club, the agreement can be terminated and the reservations cancelled. 

Breaches of the key handover agreement caused by the user will be reported to the community in writing. Several notifications will lead to the cancellation of the reservation. 

Cleaning 

Independent users must clean up the school gym and any other areas they have used. Cleaning includes taking things to their right places, collecting trash in trash bins, and removing any dirt, sand, etc. from the floor. Each school has a wide floor mop, dustpan and brush for evening users. If the customer notices that some cleaning equipment is missing, they must report this to the Sports Services. The facilities must remain clean after the reservation. On weekends, special cleanliness must be observed, as the school has no other cleaning services. 

Use of equipment 

The Sports Services cannot grant access to the school’s own equipment storage. The use of school equipment is possible with the permission of the school principal. The storage of the community’s own equipment on the school premises is negotiated/agreed on with the school principal.
